How to write an Application for leave ?

Begin with a Polite Request

Start the application by respectfully stating your intention to take leave. Mention your reason in a clear and professional tone (e.g., personal, medical, or family reasons). Avoid excessive detail unless required. Example: "I am writing to formally request leave due to [reason]."

State the Duration

Clearly mention the start and end dates of your leave. Specify the number of days to avoid ambiguity. Ensure the dates are accurate. Example: "I would like to request leave from [start date] to [end date], amounting to [number of days]."

Explain the Reason

If necessary, briefly explain why the leave is important. Be concise but honest, especially for sensitive issues like health or emergencies. Example: "The leave is needed as I have a medical appointment scheduled during this time."

Show Responsibility Management

Indicate how you plan to manage your responsibilities during your absence. This demonstrates professionalism and consideration. Example: "I have ensured that my tasks are completed in advance, and [colleague’s name] has kindly agreed to assist with urgent matters during my leave."

Request Approval

Politely ask for approval of your leave and express gratitude for their understanding. Example: "I kindly request you to approve my leave for the mentioned period and assure you of my dedication upon return."

Close with Gratitude

End the letter with a polite closing and a formal signature. Example: "Thank you for considering my application. Yours sincerely, [Your Name]."

Types of Leave Applications

There are different types of leave applications based on the reason for your absence. Here are some common types:

  1. Sick Leave: Written when you are unwell and unable to attend work or school. For example, if you have a fever or need rest due to illness.
  2. Casual Leave: Used for short-term personal reasons, such as attending a wedding, family function, or handling urgent personal matters.
  3. Annual Leave: Planned leave for vacations or personal relaxation. These are often pre-approved and part of an annual leave policy.
  4. Maternity or Paternity Leave: For new parents who need time off to take care of their newborns.
  5. Study Leave: Taken to prepare for exams, complete a course, or attend educational programs.

Emergency Leave: Requested when you face sudden, unexpected situations like a family emergency.

Why is a Leave Application Important?

A leave application is important because it shows responsibility and respect for your duties. It ensures that the concerned person is informed about your absence, which helps them manage things in your absence. It also keeps everything formal and documented, which is useful for future reference.

By writing a proper leave application, you make your leave request professional, respectful, and easy to understand.

Leave Application Formats

ERP Forms

In school and college, leave applications are requisite and are sent as email or handwritten applications. Most businesses now accept emails or online applications for leaves. The online applications on the Enterprise Resource Planners (ERPs) for schools, colleges and businesses have a set format in which the applicant must only add the reason for the leave. ERP notes can be shorter and even have an informal tone compared to email or handwritten leave applications.

Leave Application Email

In emails-

  • The email address is added to the “To” line
  • You add the reason for application in the “Subject” line
  • In the body, you add the salutation and then write the application request, reason for application and signature.
  • You can even add a CC or BCC to send the email to share a copy with more than one person.
    • CC stands for Carbon Copy
    • BCC stands for Blind Carbon Copy
  • When CC is used everyone can see the recipient names and with BCC only the sender can see the names of all recipients. A sample of email is below.
